Housing Rules, Guidelines & Terms and Conditions

As an international student, you are about to embark on an exciting journey filled with new experiences, cultures, and opportunities. Whether you are staying in a homestay, residence hall, or shared apartment, adapting to a new living environment is an essential part of your transition. This document provides a comprehensive set of rules and conditions designed to help you navigate your living situation smoothly and ensure a respectful and harmonious experience for everyone involved. Here we are also explaining the terms and conditions. By following these guidelines, you will contribute to a positive and supportive community, making your stay enjoyable and productive.

Immediate Grounds for Housing Termination

Expanish reserves the right to terminate housing arrangements without refund in cases of serious misconduct. Grounds for termination include, but are not limited to:

  • Violation of local laws

  • Possession or use of illegal drugs, or abuse of alcohol in the house

  • Acts of violence or threats against others

  • Theft or deliberate property damage

  • Hosting overnight guests without prior approval

  • Not complying with housing Terms & Conditions (e.g., curfew violations)

  • Disrespectful or inappropriate behavior towards host families, roommates, or neighbors

  • Any form of aggressive, harassing, or disruptive behavior that negatively affects the living environment

Additionally, any serious breach of the Expanish Student Code of Conduct or the General Conduct and Responsibilities outlined below may result in housing termination and possible expulsion from the program.

Unless the situation requires immediate removal, a warning system will be applied:

  • Parents or agencies will be notified after each violation.

  • After a second violation, the student will be expelled from the housing and potentially from the program.

Expanish is not responsible for securing alternative accommodations in cases of housing termination due to misconduct. No refunds will be issued.

For underage students, all violations are treated with the utmost seriousness. Parents or legal guardians will be informed immediately. In severe or repeated cases, the student may be removed from both the accommodation and the program. While Expanish will assist in seeking alternatives, continued housing cannot be guaranteed.

Liability for Damages

Students are responsible for any damage to the housing property or for the loss of personal belongings of hosts/owners caused by their actions. All damages must be repaired, replaced, or financially compensated through an agreement with the host or owner.

Expanish must be notified of any damage within 7 calendar days after the student’s departure in order to assess and process any claims.

Changing Housing

If you feel that there is an urgent reason for switching your accommodation, please only contact Expanish staff during our office hours from Monday to Friday, 9:30am to 6:30pm.

In case of an emergency that requires immediate change, you can also reach us on our emergency number outside office hours.

Receiving Mail

Please do not send mail to your housing address. If you would like to receive mail while in Spain/Argentina please provide your friends or family with our Expanish office address.

Living in a Homestay

Housing Rules and Guidelines for Students

General Conduct and Responsibilities

Students are expected to adhere to the following rules to ensure a respectful and harmonious living environment:

  • Respect for Property and Common Areas:

    • Respect the home and its property. Use common areas responsibly and leave them as you found them.

    • Respect the host family and/or housemates at all times.

  • Liability for Damages:

    • Students are responsible for any damage to housing property or loss of personal belongings of hosts/owners caused by their actions. Damages must be repaired or replaced, or a monetary agreement must be reached with the host/owner.

  • Guest Policy:

    • Obtain the host’s permission before inviting others to the house. Overnight stays from visitors are not permitted.

    • Inform the host if you will not attend any meals.

  • Use of Host’s Property:

    • Seek permission before using any of the host’s property or consuming food that is not yours.

  • Laundry Facilities:

    • Laundry arrangements depend on your specific accommodation and destination. In some homestays, your host might help with laundry. For other housing options, you'll typically be responsible for washing your own clothes, often at nearby laundromats. We recommend checking your booking details or confirming directly before your arrival to understand your laundry procedure.

  • Noise and Parties:

    • Respect the residential nature of the building and its neighbours. House parties and loud noises after 10:00 PM are strictly forbidden.

  • House Rules Discussion:

    • Discuss any applicable house rules with the family or housemates at the beginning of your stay to prevent misunderstandings and uncomfortable situations later.

  • Room Assignment:

    • Do not change rooms or use another room without prior approval from the school housing coordinator. A penalty fee of 100€ will apply for unauthorised room changes.

  • Smoking Policy:

    • Smoking inside the apartment is prohibited without the expressed authorization of the host. Smoking is only allowed outside the building. Penalty fees may apply for burn marks, smells, used cigarettes, and other damages.

  • Personal Belongings:

    • Expanish is not liable for loss or damage to students’ personal belongings.

  • Key Responsibility:

    • Students will be provided with a set of keys. In case of loss or theft, students are responsible for replacing them and covering related costs.

  • Resource Conservation:

    • Make responsible use of electricity, gas, and water. Turn off electronic devices and lights when not in use.

  • Daytime Guests:

    • Check with the host family if it is possible to bring guests during the day.

By following these rules and guidelines, we ensure a comfortable and pleasant living experience for all participants.

Check-In

  • Your host will be waiting for you at check-in. If you experience any problems—such as delays or difficulty finding the apartment—please contact your host immediately for assistance.

  • We arrange your check-in time based on your flight details. To ensure a smooth check-in, we highly recommend texting or calling your host when you are on your way from the airport.

  • If you are already in the city before your check-in date, please inform us so we can confirm your check-in time.

  • Please note that if we do not receive your expected arrival time in advance, we cannot guarantee that your host will be available at the time of your arrival.

  • If we do not receive your arrival details at least 72 hours before your check-in date, the default check-in time will be 3:00 PM.

  • If you plan to arrive later than 8:00 PM, please notify us in advance, as additional fees may apply. The latest check-in time allowed is 10:30 PM.

Check-Out

  • Check-out is usually by 12:00 PM. A penalty may apply for late check-out.

  • Please remember to return the house keys to your host before leaving.

Cancellation Terms and Conditions

  • For cancellations received 14 days or more in advance of the program start date, Expanish will refund fees received in full.

  • For cancellations received less than 14 days in advance of the program start date, the student will be charged a cancellation fee equivalent to one week of housing.

  • For any cancellation or change received on or after the check-in date, there is no refund.

  • If a program has started and a student has reserved 8 weeks or more, they may notify Expanish in writing 4 weeks prior to the date of termination to receive a refund of the remaining weeks, otherwise, a 4-week cancellation fee will apply.

Living in a Shared Apartment

General Conduct and Responsibilities

Students are expected to adhere to the following rules to ensure a respectful and harmonious living environment:

  • Respect All Residents and Staff:

    • Show respect to all housemates, neighbours, accommodation managers, cleaning workers, and other staff at all times.

    • Address staff politely and follow their instructions, including providing your name and room number when asked.

  • Property and Cleanliness:

    • Respect the residence and its property. Use common areas responsibly and leave them as you found them.

    • Maintain cleanliness in both common and private areas.

    • Dispose of your rubbish daily in the containers located outside the building.

    • Expanish housing includes access to a washing machine, but students are responsible for cleaning their own clothes. All cleaning supplies for personal hygiene (e.g., washing machine soap, dishwashing soap, scourer, liquid dish soap, toilet paper, garbage bags) must be bought by the residents.

  • Damage and Loss:

    • Students are responsible for any damage to the housing property or loss of personal belongings of hosts/owners that occur as a direct result of the student’s actions. If damage occurs, the student must replace or repair the affected item(s) or reach a monetary agreement with the host/owner.

  • Expanish is not liable for loss or damage to students’ personal belongings.

  • Noise and Parties:

    • Noise should be kept to a minimum at all times. No loud noises after 10:00 PM.

    • House parties are strictly forbidden. Violation of this rule may result in penalties or expulsion without the possibility of a refund.

  • Guest Policy:

    • Check with the housing provider regarding the policy on guests.

    • Day guest visits are not permitted without the expressed agreement of housemates and the landlord. Overnight visits are strictly prohibited.

    • Visitors can enter from 8:00 AM and must leave by 10:00 PM.

  • Room Assignments and Smoking:

    • It is forbidden to change to another room or use another room that is not your assigned one without permission from the school housing coordinator. A 100€ penalty fee will apply.

    • Smoking is not allowed inside the apartment. Smoking is only permitted outside the building. Penalty fees may apply for any burn marks, smell, used cigarettes, or other damage to the property.

  • Resource Management:

    • Make responsible use of electric, gas, and water resources. Turn off electronic devices and lights when not in use.

  • Keys:

    • Students will be provided keys and are responsible for replacing them in case of loss or theft, covering any related costs.

  • Housemate Agreements:

    • Discuss and agree upon any additional house rules with housemates at the beginning of the stay to prevent misunderstandings and uncomfortable situations later.

By following these rules and guidelines, we ensure a comfortable and pleasant living experience for all participants.

Check-In

  • Your check-in time will be arranged based on your flight details.

  • To ensure a smooth check-in, please text or call the host’s phone number when you are on your way from the airport.

  • If you will already be in the city before your check-in date, please inform us so we can coordinate your check-in time.

  • Check-in window: between 3:00 PM and 8:00 PM on your scheduled arrival date.

  • If we do not receive your arrival details at least 72 hours before check-in, we cannot guarantee someone will be available to meet you upon arrival.

  • Arrivals after 8:00 PM must be communicated at least 72 hours in advance, are subject to availability, and may incur a late check-in fee.

  • Late check-in fee: €50 per hour (or part of an hour) after 8:00 PM, up to 11:00 PM.

  • Check-ins after 11:00 PM are not allowed unless explicitly approved by Expanish. Unauthorized arrivals after this time may result in losing the first night’s stay without a refund.

  • If your flight is delayed, inform Expanish as soon as possible to avoid check-in complications. Additional fees may apply if your arrival time falls outside the standard window.

  • When submitting your flight details, please include your estimated arrival time. If arriving after 8:00 PM, check the 'Late Check-in' box so we can prepare accordingly.

Check-Out

  • Check-out is by 11:00 AM on your scheduled departure date.

  • A penalty of €50 will apply for late check-out.

  • On the day of departure, please clean your room, wash bed linens and towels, and leave the keys inside the room.

Cancellation Terms and Conditions

  • For cancellations received 30 days or more in advance of the program start date, Expanish will refund fees in full

  • For cancellations received 16 days or more in advance of the program start date, Expanish will refund fees in full minus a cancellation fee of 1 week of housing.

  • For cancellations received 15 days or less to the start date, there are no refunds for Student Shared Apartments.

  • A deposit of 200€ might be required upon check-in. Deposit can be made in cash or with a credit card authorization form.

Living in a Student Residence

General Conduct and Responsibilities

Students are expected to adhere to the following rules to ensure a respectful and harmonious living environment:

  • Respect All Staff and Residents:

    • Address the staff politely and provide your name and room number when asked.

    • Show respect for all staff members including the director, receptionists, cleaning staff, kitchen staff, and concierges.

  • Cleanliness:

    • On cleaning day, ensure rooms are tidy, and shelves are clear to avoid accidents.

    • Dispose of your rubbish in the containers outside.

    • Keep common areas clean. Do not eat or drink (any type of drink) in these areas.

    • Personal areas must be kept clean and tidy. Residences include access to a washing machine for students to clean their own clothes. All cleaning supplies for personal hygiene must be bought by the resident.

  • Common Areas:

    • Use common areas respectfully, leaving them as you found them.

    • Respect the hours of use of games indicated at reception.

    • Do not take anything from the kitchen island that belongs to others.

    • No house parties or loud noises after 10:00 PM. Noise levels must be kept low, especially between 11:00 PM and 8:00 AM.

  • Damage and Loss:

    • Students are responsible for any damage to the housing property or loss of personal belongings of hosts/owners that occur as a direct result of the student’s actions.

    • Students must replace or repair the affected items or reach a monetary agreement with the host/owner.

  • Visitors:

    • Visitors must be identified at reception and accompanied by the resident. They can enter from 8:00 AM and must leave by 12:00 AM. The concierge may adjust departure times if regulations are breached.

    • Overnight stays from visitors are not allowed.

    • Check with reception regarding the policy on day-time visitors before inviting others to your room.

  • Smoking Policy:

    • Smoking inside the residence is prohibited. Smoking is only allowed outside the building. Penalty fees may apply for any burn marks, smell, used cigarettes, or other damage to the property.

  • Key and Resource Management:

    • Students are provided keys and are responsible for replacing them in case of loss or theft.

    • Make responsible use of electric, gas, and water resources. Turn off electronic devices and lights when not in use.

  • Damage, Loss and Liability:

    • Expanish is not liable for loss or damage to students’ personal belongings.

    • The school will be informed of any behaviour contrary to the rules.

By following these rules and guidelines, we ensure a comfortable and pleasant living experience for all participants.

Check-In

To ensure a smooth check-in, please send your flight details and phone number in advance.

  • If you are already in the city, inform Expanish so we can coordinate your check-in time.

  • If we do not receive your arrival details at least 72 hours before your check-in date, your check-in will be scheduled at 3:00 PM.

  • If you arrive earlier, you may store your luggage in the storage room until your room is ready.

  • Residences have a 24-hour reception, so even with a late flight, check-in is possible.

Check-Out

  • Check-out is at 10:00 AM.

  • Please note that a 50€ penalty fee applies for late check-outs.

  • Please leave your keys at reception before departure.

Cancellation Terms and Conditions

  • For cancellations received 35 days or more in advance of the program start date, Expanish will refund fees in full.

  • For cancellations received 34 days or less in advance of the program start date, there are no refunds.

  • With the exception of Yugo Nuevo Norte Madrid and Cristobal de Moura Barcelona - The penalty for changes and cancellations after a confirmed booking is 100% of the reservation cost, regardless of the entry date. No refunds are available under any circumstances for this accommodation option.

Living in a Homestay – No Meals

Living in a Studio Apartment

General Conduct and Responsibilities

Students are expected to adhere to the following rules to ensure a respectful and harmonious living environment:

  • Respect All Residents and Staff:

    • Show respect to all neighbours, accommodation managers, cleaning workers, and other staff at all times.

    • Address staff politely and follow their instructions, including providing your name and room number when asked.

  • Property and Cleanliness:

    • Respect the studio and its property. Use common areas responsibly and leave them as you found them.

    • Maintain cleanliness in both common and private areas.

    • Dispose of your rubbish daily in the containers located outside the building.

  • Laundry Facilities:

    • Laundry facilities may be available within the accommodation. Students are responsible for using these facilities or local laundromats to wash their clothes, as laundry service is generally not provided.

  • Damage and Loss:

    • Students are responsible for any damage to the studio property or loss of personal belongings that occur as a direct result of the student’s actions.

    • If damage occurs, the student must replace or repair the affected item(s) or reach a monetary agreement with the accommodation management.

    • Expanish is not liable for loss or damage to students’ personal belongings.

  • Noise, Parties and Quiet Hours:

    • Studio parties or making noise that disturbs the rest of other guests is strictly prohibited.

    • Quiet hours are enforced to ensure a peaceful living environment.

    • Violation of this rule may result in penalties or expulsion without the possibility of a refund.

    • Noise should be kept to a minimum at all times. Quiet hours are as follows:

      • Sunday to Thursday: 11 PM to 8 AM

      • Friday and Saturday: 12 AM to 8 AM

  • Guest Policy:

    • Check with the housing provider regarding the policy on guests.

  • Smoking Policy:

    • Smoking is not allowed inside the studios. Smoking is only permitted outside the building. Penalty fees may apply for any burn marks, smell, used cigarettes, or other damage to the property.

  • Resource Management:

    • Make responsible use of electric, gas, and water resources. Turn off electronic devices and lights when not in use.

  • Keys:

    • Students will be provided keys and are responsible for replacing them in case of loss or theft, covering any related costs.

  • Housemate Agreements:

    • Discuss and agree upon any additional house rules with staff at the beginning of the stay to prevent misunderstandings and uncomfortable situations later.

The penalty for violating building rules (quiet hours, smoking, noise disturbances, etc.) is $150 USD.

By following these rules and guidelines, we ensure a comfortable and pleasant living experience for all participants.

Check-In

  • Check-in times are arranged based on your arrival details and may vary by location.

  • You will receive instructions, including contact information and access codes, before your arrival via WhatsApp and email.

  • To ensure a smooth check-in, please notify your host by text or phone when you are on your way from the airport. If you are already in the city before your check-in date, let us know so we can confirm your check-in time.

  • Standard check-in time starts at 2:00 PM and 3:00 PM depending on the location. If you arrive before check-in time, early check-in may be possible subject to availability. Otherwise, you can securely leave your luggage at reception and explore the area until your room is ready.

  • If we do not receive your arrival details at least 72 hours before your check-in date, default check-in time will be set to 3:00 PM, but we cannot guarantee someone will be available upon your arrival.

  • Arrivals outside of the standard check-in window (for example, after 8:00 PM) must be communicated at least 72 hours in advance. Late check-ins may incur an additional fee of 50€ and are subject to availability.

  • Specific arrival instructions may vary by location; for example, some buildings require ringing a doorbell marked “oficina” during daytime hours or contacting a help desk outside those hours.

Check-Out

  • Check-out is by 11:00 AM.

  • Please coordinate your check-out time with the accommodation provider and follow the instructions for returning keys, which may include handing them to reception, placing them in a building locker, or leaving them inside the room if departing late at night or early morning (with prior notice).

  • Please note that a 50€ penalty fee applies for late check-outs, so it's important to leave the accommodation at the agreed time.

  • On the day of departure, please clean your room and leave the bed linen and towels inside the room.

Cancellation Terms and Conditions

  • Full refund if canceled 30 days or more before start date.

  • Cancellation fee of 1 week of housing if canceled 16 or more days before start.

  • No refund if canceled 15 days or less before start.
